Privacy Policy
BroadGate Immigration respects your privacy and is committed to handling personal information responsibly, transparently and in accordance with applicable Canadian privacy requirements.
Last updated: October 31, 202601 Scope and Accountability
This Privacy Policy describes how BroadGate Immigration ("BroadGate," "we," "us" or "our") collects, uses, discloses, retains and protects personal information through our website, consultations, assessments, communications and immigration-related services.
BroadGate is responsible for personal information under its control. We designate a Privacy Officer to oversee our privacy practices and respond to questions, access requests and complaints.
Our practices are guided by the Personal Information Protection and Electronic Documents Act (PIPEDA) and other Canadian laws that apply to our activities. Different requirements may apply depending on the information, service and jurisdiction involved.
02 Information We Collect
The information we collect depends on how you interact with us and the services you request. It may include:
- Identity and contact information, such as your name, date of birth, address, email address and telephone number.
- Immigration and personal history, such as citizenship, family information, education, language ability, employment, travel, immigration status and application history.
- Identification and supporting records, such as passport pages, permits, civil-status documents, employment records, financial evidence and information you provide for an assessment or file.
- Consultation and service information, including appointment details, correspondence, instructions, notes and documents relating to the services you request.
- Billing and transaction information, such as invoices and payment status. Payment card details may be processed directly by a payment service provider rather than stored by BroadGate.
- Website and technical information, such as IP address, browser and device information, pages viewed, referral source, approximate location and cookie or analytics data.
- Communications and preferences, including messages, form submissions, feedback and your preferred method of contact.
Please do not send sensitive documents unless they are requested and you are using a communication method approved for that purpose.
03 How We Use Personal Information
We may use personal information to:
- respond to inquiries and schedule consultations;
- conduct preliminary assessments and determine whether we may be able to assist;
- provide agreed immigration consulting and related services;
- communicate with clients, prospective clients and authorized representatives;
- prepare, review and manage applications, submissions and supporting records when authorized;
- verify identity, prevent fraud and protect our website, systems, clients and staff;
- process payments, maintain business records and administer our relationship with you;
- meet legal, professional, regulatory, insurance and record-keeping obligations;
- improve our website, forms, services and user experience; and
- send promotional communications where permitted and where the required consent exists.
If we wish to use personal information for a materially different purpose, we will identify that purpose and seek additional consent when required.
04 Consent and Your Choices
We obtain consent in a form appropriate to the sensitivity of the information and the circumstances. Consent may be express or implied where legally permitted. By voluntarily providing information for an identified purpose, you consent to its handling for that purpose, subject to applicable law.
You may withdraw consent, subject to legal, regulatory and contractual restrictions and reasonable notice. Withdrawal may limit our ability to provide a requested service or continue acting on a matter. We will explain material consequences where appropriate.
05 When We Disclose Information
We do not sell personal information. We may disclose it only as reasonably necessary for identified purposes, with consent, or as permitted or required by law. Recipients may include:
- BroadGate personnel and contractors who require access to perform their duties;
- technology, hosting, cloud-storage, communications, document-management, payment and professional service providers;
- government departments, immigration authorities, educational institutions, employers, credential organizations or other parties when you authorize us to communicate or submit information;
- professional regulators, insurers, auditors, advisers, law-enforcement bodies, courts or other authorities where permitted or required; and
- a successor organization in connection with a proposed or completed business transaction, subject to appropriate confidentiality and legal requirements.
We seek to limit disclosures to information reasonably required for the applicable purpose.
06 Service Providers and Processing Outside Canada
We may use service providers to support website hosting, email, scheduling, communications, file management, analytics, payments and other business functions. Some providers may store or process information outside Ontario or Canada.
When information is processed in another jurisdiction, it may be accessible to courts, law-enforcement bodies or national-security authorities under that jurisdiction’s laws. We remain responsible for personal information under our control and use contractual or other measures appropriate to the circumstances when engaging service providers.
You may contact our Privacy Officer for information about our use of service providers in other jurisdictions.
07 Website Data, Cookies and Third-Party Links
Our website may use cookies and similar technologies needed for functionality, security, preferences, analytics or performance. These technologies may collect technical information about your browser, device and interaction with the website.
You can adjust browser controls to block or delete cookies, although doing so may affect website features. Where required, we will provide additional notice or choices for non-essential technologies.
Our website may link to third-party websites or services. Their privacy practices are governed by their own policies, and BroadGate is not responsible for how independent third parties handle information.
08 Safeguards and Privacy Breaches
We use administrative, technical and physical safeguards appropriate to the sensitivity, amount, format and location of the information. Measures may include access controls, confidentiality requirements, staff awareness, secure service providers, authentication, backups and secure disposal practices.
No method of transmission or storage is completely secure. If a privacy breach occurs, we will investigate, contain and assess it and will notify affected individuals, regulators or other parties where required by applicable law.
09 Retention and Secure Disposal
We retain personal information only as long as reasonably necessary for identified purposes and to satisfy applicable legal, professional, regulatory, insurance, dispute-resolution and legitimate business requirements.
Retention periods vary according to the nature of the record and our relationship with you. When information is no longer required, we securely destroy, erase or anonymize it, subject to technical and legal limitations.
10 Access, Correction and Accuracy
You may request access to personal information we hold about you and ask us to correct information that is inaccurate or incomplete. We may need to verify your identity before responding.
Access may be limited where permitted or required by law, including where disclosure would reveal another person’s personal information, confidential commercial information or information protected by legal privilege. If we cannot fulfil all or part of a request, we will explain the reason where legally permitted.
Please contact us when your information changes so that records used to provide services can remain accurate and current.
11 Electronic Communications
We may send service communications relating to an inquiry, appointment or client matter. Promotional email or text messages are sent only where permitted by Canada’s anti-spam legislation and other applicable requirements.
Commercial electronic messages will include the required identification information and an unsubscribe method. You may withdraw marketing consent at any time by using the unsubscribe mechanism or contacting us. This will not prevent necessary non-promotional communications about an active inquiry, appointment or service.
12 Questions, Requests and Complaints
Direct privacy questions, access or correction requests, consent withdrawals and complaints to BroadGate’s Privacy Officer. Please do not include sensitive identity or immigration documents in an initial privacy inquiry.
